Terms and Conditions
Updated: 4 march 2026
These Terms and Conditions outline the basis on which Therapy Cove (Dr Joel Ltd) provides psychological therapy services, both in person in London and online. By booking or attending a session, you agree to these terms.
Dr Joel Ltd (trading as Therapy Cove) provides professional psychological therapy services.
1. Services
Therapy sessions are offered either face-to-face in London or online via secure video platforms (Google Meet or Microsoft Teams).
All sessions are 50 minutes in duration.
Following the first session, further appointments are typically scheduled in advance.
Therapy is a collaborative process and outcomes cannot be guaranteed.
Therapeutic matters are normally addressed within scheduled sessions rather than through email or other communication outside appointments.
2. CONFIDENTIALITY
Confidentiality is a key aspect of psychological therapy. It supports your sense of safety and trust and makes the therapeutic relationship different from other interactions.
All records are held securely, and we ensure confidentiality in the treatment of any information about our clients.
Confidentiality may only be breached if:
• You provide consent to share information (e.g. with your GP or psychiatrist)
• There is a legal obligation to disclose
• There is a serious and imminent risk of harm to yourself or others
Where possible, you will be informed before any disclosure is made.
Please see our Privacy Policy for further details. You also have the right to raise concerns about how your data is handled with the Information Commissioner’s Office (ICO), the UK authority responsible for data protection.
3. FEES, payment and insurance
The standard fee for an assessment session is £250. The standard fee for subsequent therapy sessions is £200, unless an alternative fee has been agreed with an insurer.
Typically, sessions 1 and 2 are considered assessment sessions. Subsequent sessions are regarded as therapy sessions.
An invoice will normally be issued one week before the scheduled session.
Payment is due 48 hours before the appointment.
Payment can be made via bank transfer or standing order using the details provided on the invoice. We reserve the right to apply administrative charges where payments are overdue.
If you are using health insurance, it is your responsibility to keep track of the sessions authorised and used. Insurance companies may cover only part of the fee or limit the number of sessions.
It is the client’s responsibility to confirm the level of cover with their insurer prior to commencing treatment.
Where an insurer declines to cover all or part of the fees, you remain responsible for payment of the outstanding balance.
4. Cancellations and MISSED SESSIONS
Once an appointment is scheduled, that time is reserved exclusively for you. For this reason, cancellations or rescheduling with less than 48 hours’ notice will be charged in full. Missed sessions without notice will also be charged in full.
If sufficient notice is given, we will always do our best to offer an alternative appointment.
If we need to cancel a session, we will provide as much notice as possible and no fee will be charged.
5. REGULAR ATTENDANCE
Regular attendance is important for effective therapy. Where cancellations or missed sessions exceed approximately 35% of offered sessions, the offer of ongoing therapy may be reviewed.
Sessions begin and end at the scheduled time. If you arrive late, the session will still end at the scheduled time.
6. COURSE OF THERAPY
The offer of psychological therapy depends on the outcome of assessment.
Commitment to regular sessions is important, but you are free to stop therapy at any point. Where possible, we recommend a final session to review progress and bring the work to a safe close.
Where appropriate, we may recommend a different type of therapy or therapist.
7. ONLINE THERAPY
Clients are responsible for ensuring a stable internet connection and a private location for sessions.
In the event of technical disruption, we will attempt to reconnect or reschedule.
8. SECURITY OF YOUR INFORMATION
Video sessions are delivered securely via Microsoft Teams or Google Meet.
Practice management and scheduling are managed through Halaxy.
Payment processing is handled securely via FreeAgent.
9. EMERGENCIES AND CRISIS SUPPORT
We do not provide emergency or crisis services.
If you feel at risk, please contact your GP, NHS 111, or dial 999.
You may also contact Samaritans on 116 123.
10. PROFESSIONAL STANDARDS
Practitioners are appropriately qualified, insured, and registered with the HCPC, BPS, and BABCP where applicable. We adhere to the ethical codes of these professional bodies.
11. GOVERNING LAW
These Terms & Conditions are governed by the laws of England and Wales.
